Reunion Guide

Step by step guide to help you plan your next family reunion

Make a list of family members, including spouses, partners and children. Get contact information for all the people on your list. Send an initial mailing to gauge interest and preferences and to ask for help with planning. Send invitations later, with relevant information, directions and a map. One new idea is creating a Facebook page for your reunion event. It’s an excellent and easy way to communicate with family members from across the country and keep everyone updated on the latest reunion news.

Choose a date when most people can attend. Summer months are often ideal, since children are out of school.

Decide how long you want the reunion to last; one day, a weekend or perhaps an entire week. Hold it near most family members if you’re clustered in one area or pick a central location, if you’re scattered. Pigeon Forge, TN is an excellent location to hold a family reunion! There is so much to see and do such as Dollywood, Splash Country, hiking in the Great Smoky Mountains, shopping at our brand name factory outlet malls, golfing, Ripley’s Aquarium, put-put golf, race-car driving! The fun never stops!

Develop a budget and decide how much each family will need to contribute. Avoid making costs prohibitively high. Ask family members to send checks to cover their expenses before the reunion to help cover down-payments or any up-front costs. Set up a separate bank account or paypal account to help you manage and allocate reunion expenses. A fun idea that many families are currently doing is having reunion t-shirts made. Enlist the help of your most talented family artist to help with the t-shirt design. Matching t-shirts also come in handy when you go on outings such as Dollywood and you are trying to keep track of a large group.

Reserve reunion location. River Plantation River Plantation Conference Center and Catering offers their brand new 5,670 square foot conference center with seating for up to 350 people. They also offer on and off-site catering if you would prefer to host your reunion elsewhere.

Determine the menu – perhaps one that celebrates your family’s heritage. River Plantation Catering offers endless food choices from simple to elaborate or you can custom design your own menu. See our catering menu for a complete list of options.

Appoint a family historian to take photographs and videos during the event. Also have a sign in book to see which family members were able to make it and ask for updated contact information, birthdays and email addresses.

Plan fun activities for during the reunion– horseshoes, croquet, badminton, etc. Include activities that will appeal to all ages. Buy prizes for your games or for distinctions such as oldest family member or longest distance traveled to attend.
